Mentis has pre-built roles that allow for providing different functionality to different users based on the role they have been assigned. These roles also govern the different menu items that are visible to the user throughout Mentis. This article explains how to manage roles which are required for assigning the user.
Here is a brief description for each one to help you select what is best for your users.
Role | App | Description |
System Administrator | All Apps | This is a super-user role that has all privileges over all aspects of Mentis and can also impersonate any other user. |
Unit Head | All Apps | This role can be assigned to department heads to be able to access reports for their unit as well as participate in workflows in certain apps. |
ParentUnit Head | All Apps | This role can be assigned to department heads to be able to access reports for their unit as well as participate in workflows in certain apps. |
Faculty | Faculty Activity Reporting | This is a role that can be assigned to users and is specific to the working of the faculty activity reporting app in Mentis. |
Provost Office Member | Faculty Activity Reporting | This is a role that can be assigned to users and is specific to the working of the faculty activity reporting app in Menits. |
Unit Administrator | Faculty Activity Reporting | This is a role that can be assigned to users and is specific to the working of the faculty activity reporting app in Mentis. |
Provost | All Apps | This role can be assigned to the person holding the Provost or equivalent position in your organization and is useful for a number of apps as well as for reporting purposes. |
Authenticated User | All Apps | This role can be applied to restrict access to the system to only a specific list of users. |
Award Admin | Profiles | This role can be applied to users to allow them to manage Awards and run reports related to Awards in the Profiles app in Mentis |
ELC Admin | E-Learning Compliance | This role can be applied to users to give them full permissions and privileges on the E-Learning Compliance app in Mentis |
President | All Apps | This role can be assigned to the person holding the President or equivalent position in your organization and is useful for a number of apps as well as for reporting purposes. |
Organization Administrator | All Apps | This role is assigned to a selected list of users from your organizations to give them access to the Admin area and full privileges over all apps and reports. |
Program Coordinator | E-Learning Compliance | This role is assigned to users to allow them to manage programs for their units and to edit state authorization records related to the programs in their unit. |
Adding Role
Important: Adding a role does not automatically make the functionality for that role to start working. Please contact us at support@inknowledge.com for more information on how to configure a new role you may have added.
1. Once inside the Admin area, select Roles present under Manage Users and Roles.
2. Click on Add button present on the right-hand side.
3. In Create a new Role, you need to add Role and click Save.
Edit or Delete Role
Important: Please err on the side of caution when renaming or deleting a role as it can break functionality of Mentis. For assistance with this, please contact us at support@inknowledge.com.
1. You can edit or delete role using edit or delete button present under Actions.
Known issue: Search for partial key words does not work in the Manage User page. We are working on this issue and will be resolved in future release. In the meantime, you can continue using the search using the full keyword.
